Executive Administrative Assistant
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to the company Managing Partners. The ideal candidate will possess exceptional clerical and organizational skills, with the ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism and confidentiality while assisting in various administrative functions.

In This Role, You Will:
- Support Managing Partners with ad-hoc requests accurately and with timeliness
- Prepare professional, client-ready presentations
- Assist with new hire on-boarding support
- Manage Benefits administration, up-to-date personnel information records, conduct E-Verify, manage technology distribution
- Maintain bookkeeping and client billing
- Track client hours as needed and directed by project manager
- Coordinate travel for team members as needed.
- Manage multiple, concurrent projects while adhering to deliverable dates.
- Record and track PTO for organization and record updated on management’s calendars
- Maintain all Standard Operating Procedure (SOP) documentation
- Manage expense tracking
- Support ad-hoc client projects as requested with accuracy and timeliness.
- Manage internal office supply needs, i.e., supplies, foods and beverages; order proactively as needed, receive and organize office
- Ensure the office is clean and organized to ensure a pleasant environment
- Receive all deliveries, ensure received items are organized and stored as needed
- Receive phone calls, retrieve all voicemails, and share with office team as needed
- Bring garbage and recycling out as needed
- Monitor office and restroom supplies and cleanliness
- Coordinate maintenance or outside services as needed
- Maintain office calendar for services, maintenance, client visits, etc.
- Dog walking as needed
What We're Looking For:
- 3-5 years of office management and/or executive support.
- Bachelor’s degree or equivalent experience.
- Ability to prioritize and gain alignment to priorities.
- Strong interpersonal skills.
- Ability to proactively request details on projects for full understanding and successful completion.
- A self-starter who is motivated to excel and grow.
- Ability to communicate confidently and effectively both written and verbally with internal and external stakeholders.
- Detail-oriented with a commitment to accuracy.
- Strong time management with the ability to balance competing priorities.
- Proficiency in programs such as Microsoft Office and Google. i.e. Excel, PowerPoint.
- Experience with task tracking programs i.e., Harvest preferred but not required.
- Experience in bookkeeping, i.e. QuickBooks preferred but not required.
- Experience composing external communications/client reports preferred but not required.
